1. How we ship your orders

At Vayron we ship all orders through freight carriers specialised in parcels and bulky goods. We work with more than 4 different carriers, selected for their reliability and experience in handling technical material: ducts, flexible ducts, bulky fittings and fragile goods.

Orders cannot be collected from the warehouse. All shipments are delivered to the address given in the order.

Usual delivery time: 5-7 working days from order confirmation for in-stock references. Delivery time may vary depending on the destination and the type of material.

2. Shipping rates: when shipping is free

Vayron covers the shipping cost when the net amount (excluding VAT) of the order exceeds the threshold for each destination:

Important: The threshold applies to the net amount of the order (excluding VAT). When the order does not reach the minimum for free shipping, the transport cost is calculated according to the actual weight and the volumetric weight of the shipment (see clause 4) and is shown transparently at checkout before the order is confirmed.

3. Why is shipping sometimes charged?

Unlike a parcel of electronics or clothing, our products take up considerable space in the lorry even when they weigh very little. Freight carriers apply rates based on volumetric weight, not actual weight.

This means that an order of flexible ducts or EPP boxes can generate a transport cost equivalent to that of a shipment of several tens of kilos, even though the material itself weighs very little.

When Vayron covers the shipping cost (orders ≥ threshold), that cost is already included in the product price you have seen. When the order does not reach the minimum, the cost is charged separately and transparently, with no additional margin.

4. Volumetric weight: what it is and why it matters

Volumetric weight is a calculated value that freight carriers use to price shipments where volume, not weight, is the limiting factor. The formula is:

Volumetric weight (kg) = Length (cm) × Width (cm) × Height (cm) ÷ 5,000

The carrier charges on the higher of the two values: actual weight or volumetric weight.

Real examples from our catalogue

To help you understand the impact, here are some representative examples:

• Box of AluVay flexible duct Ø160 (10 m): billed as ~18 kg volumetric, whatever the contents weigh.
• Box of EPP plenum Ø125: billed as ~12 kg volumetric even though it weighs less than 1 kg.
• Box of PVC semi-rigid duct Ø125: billed as ~8 kg volumetric even though the actual weight is lower.

5. Delivery areas and special conditions

Mainland Spain

Delivery in 5-7 working days for most destinations. Free shipping from €120 (excl. VAT). For lower amounts, the transport cost is calculated at checkout according to the volumetric weight of the order.

Balearic Islands

We ship to the Balearic Islands. The cost is calculated at checkout according to the volumetric weight of the order; shipping is free from €150 (net amount, excluding VAT).

Delivery in 7-10 working days. Free shipping from €150 (excl. VAT). Transport to the Balearic Islands includes the sea crossing, which significantly increases the base cost per package, especially for bulky material.

Mainland Portugal

Delivery in 7-10 working days in the 18 districts of mainland Portugal. Free shipping from €150 (excl. VAT). The same volumetric weight criterion applies. Shipments to Portugal may be subject to additional customs processing for certain products.

Canary Islands, Ceuta, Melilla, Azores and Madeira

For the time being we do not ship to these destinations from the online store, so the checkout will not offer any shipping method for them. If you need material in the Canary Islands, Ceuta, Melilla, Azores or Madeira, write to us at tecnico@gtsystems.es with the order details and the delivery address, and we will send you a transport quote.

6. Receiving your order

On receiving the goods, it is essential to check the condition of the packaging and the contents before signing the carrier's delivery note.

If you notice anything wrong:

• Note the issue on the carrier's delivery note (do not sign as "received in good condition" if there is visible damage).
• Take photographs of the packaging and the affected material.
• Notify Vayron within a maximum of 24 hours of receipt by emailing tecnico@gtsystems.es with the order number, the photographs and a description of the problem.

Failure to notify within this period releases Vayron and the freight carrier from liability for the damage.

Absence at delivery: If the carrier cannot deliver because the recipient is absent, a second attempt will be made. If the second attempt also fails, the order may be held at the carrier's depot or returned to the warehouse. The costs of redelivery or reshipment will be borne by the customer.

7. Shipping of project orders

For project orders (see the Terms and Conditions of Sale, clause 5), transport conditions are negotiated and detailed in the project offer. Depending on volume and destination, Vayron can arrange partial deliveries, specific palletising or delivery on site with a side-loading lorry.

Large-volume project orders may require unloading assisted by the customer's own means (pallet truck, forklift, etc.). Vayron will advise of this in the shipping confirmation.
